Contact

The Contact page contains the contact details of Customer. The details are names, address and other details of the customer.

Contact Fields

Here is a description of the contact standard fields. Some of these fields may not be editable depending on your page layout.

Field

Description

Customer Name

Full Name of the Contact Person. E.g., Morris. Up to 255 characters are allowed in this field.

First Name

First name of the Contact Person. Up to 255 characters are allowed in this field.

Middle Initial

Middle Initial of the Contact Person. Up to 255 characters are allowed in this field.

Last Name

 

Last name of the Contact Person. Up to 255 characters are allowed in this field.

Salutation

 

Title for addressing the Contact Person, for example, Mr., Ms., Dr., or Mrs.

Nick Name

 

Nick Name of the Contact Person. Up to 255 characters are allowed in this field.

Title

 

Position of Contact Person within his or her company. Up to 255 characters are allowed in this field.

Phone

Phone Number of Contact Person.  Up to 255 characters are allowed in this field.

Home Phone

 

Contact Person's Residential phone number. Up to 255 characters are allowed in this field.

Mobile Phone

 

Contact Person's Cellular or mobile phone number. Up to 255 characters are allowed in this field.

Fax

Fax Number of Contact Person. Up to 255 characters are allowed in this field

Email

Email address of Contact Person. Up to 255 characters are allowed in this field. Must be a valid email address in the form: sample_randy@cellarstone.com.

Address1

Street Address for the Contact Person. Up to 255 characters are allowed in this field.

Address2

Additional Street Address (Avenue or Suite) for the Contact Person. Up to 255 characters are allowed in this field.

City

City portion of the Contact Person's address. Up to 255 characters are allowed in this field.

State-Province

State or province portion of the Contact Person's address. Up to 255 characters are allowed in this field.

Postal Code

Zip or postal code portion of the Contact Person's address. Up to 255 Characters are allowed in this field.

Country

Country portion of the Contact Person's address. Up to 255 characters are allowed in this field.

Department

 

Associated business or organizational unit of Contact Person. Up to 255 characters are allowed in this field.

Reports To

 

Name of Contact Person's manager. Up to 255 characters are allowed in this field.

Assistant

 

Name of the Contact Person's Assistant. Up to 255 characters are allowed in this field.

Email Opt Out

Whether to exclude the contact's mail address from mass emails or not. E.g. Yes or No.

Lead Source

Where the Lead for this came from. E.g. Online,Phone etc.

Comments

Comments on Contact Person. Only the first 255 characters display in reports.

Owner

Owner of the record. Typically owner will be any of the user id. E.g.cellar@cellarstone.com. By default, Owner will have access to this record.

Adding a new Contact details

The user can create new contact details such as Customer Name, First Name, Last Name, Assistant, Reports To, department, etc. For example, to add new contact information for customer "ACME" details,  follow the steps given below:

  1. Click Master Data menu ? Customer submenu item. The "Customer" list page opens. The below information is mentioned taking the Customer "ACME" as an example.

 

  1. Click the Edit  icon where Customer id "ACME" in the row to create a Opportunity detail and also make changes to an existing Customer detail or click the Customer "ACME" link to open the page in readable view. The "Customer - Edit" page displays.

  1. Click on Add New button to create new contact details. The "Contact - Add" detail page opens.

 

  1. Customer Name drop-down lists the created customer names. It automatically displays the appropriate name of the customer. You can also select the desired Customer Name from the drop-down.
  2. Type the first name of the Contact Person the in the First Name text box. For example, type the first name as "Mike".
  3. Type the initial of the customer's name in the Middle Initial text box. For example, type the initial as "M".
  4. Type the last name of the customer in the Last Name text box. For example, type the last name as "Douglas".
  5. Select the title for the Customer in the Salutation drop-down. For example, type the salutation as "Mr."
  6. If the customer has nickname, then type the name in the Nick Name text box.
  7. Type the job title of the customer in the Title text box. For example, type the title as "SVP Procurement".
  8. Type the customer's phone number in the Phone text box. For example, type the phone number as" (543) 555-7437".
  9. Type the customer's fax number in the Fax text box. For example, type the fax number as" (543) 555-7437".
  10. Type the email address of customer in the Email text box. For example, type the email id as "sample_randy@cellarstone.com".
  11. Select the Email Opt Out option to exclude the contact from further mail communications.
  12. Type the customer's residential phone number in the Home Phone text box.
  13. Type the customer's Mobile phone number in the Phone text box.
  14. Type the suite number and street name in the Address 1 text box. For example, type the address 1 as "131, Howard's Avenue" in the respective text box.
  15. Type the additional street address in the Address 2 text box. For example, type the address 2 as "South Suite" in the respective text box.
  16. Type the name of the city where the rep's address is located in the City text box. For example, type the city name as "Palo Alto".
  17. Type the name of the state or province where the city is situated in the State/Province text box. For example, type the state or province as "CA ".
  18. Type the zip code of the city in the Postal Code text box.  For example, type the postal code as "94301".
  19. Select the Customer's country name from the Country drop-down. For example, select the country as "United States of America.
  20. Type the customer's department in the Department text box. For example, type the department as" Procurement".
  21. Type the name of the contact's manager in the Reports To text box.
  22.  Type the name of the contact's assistant in the Assistant text box.
  23. Select the source of the lead from the Lead Source drop-down. For example, select the lead source as "Web".
  24. Type the details in the Comments text area.
  25. Click Save to save the added contact details or click Save & Next to save and create new contact details.
  26. Select the Owner of the record. Typically owner will be any of the user ids. E.g. cellar@cellarstone.com. By default, Owner will have access to this record.
