Customer

Basic Setup that are to be done like adding maintenance data [Customer, Product, Opportunity]

before setting up the calculation rules and transactions.

The customer refers to individuals that purchase goods and services from the organization. The customer page contains information about the customer details. The details are customer name, customer id, type, billing information, shipping information, etc. The user can add, modify, copy and delete the customer details.  Once the customer is created, relevant contact and opportunity information can be added. After entering the Customer's master details, you can set customer based commission plan or enter the transaction details.

 

The Customer menu lets you quickly create, and view the customers' information. You can sort and filter customers' information using standard and custom list views provided below the Title in a page. In addition, this page lets you copy, and delete, edit the customers' information. In the Next Step section of the customer page, you can add customer based commission plan or transaction. This page also lets you to go to the previous page and Home page. In the Related Information section of Customer page, you can view the information related to the customer page.

 

You can click Customers ? Customer menu item to display the "Customer" page. This page will list all the Customer ID, Customer Name, Billing City, Billing State/Province, Contact Name, Phone, Links to Edit, Copy, Delete option.

 Customer Fields

Here is a description of the customer standard fields. Some of these fields may not be editable depending on your page layout.

Field

Description

Customer Name

Full Name of the Customer. E.g., Morris. Up to 255 characters are allowed in this field.

Type

Basic Type of the Customer. The types may be Customer or Prospect or Partner or Other.

Parent Customer

It is the higher-level customer to which the customer is attached. This allows you to arrange your customers in a hierarchical way. For example, ACME, Ltd is a parent customer of Gritz Ltd.

Billing Address1

Street Address used for Billing. Up to 255 characters are allowed in this field.

Billing Address2

Additional Street Address (Avenue or Suite) used for Billing. Up to 255 characters are allowed in this field.

Billing City

City portion of billing address. Up to 255 characters are allowed in this field.

Billing State-Province

State or province portion of billing address. Up to 255 characters are allowed in this field.

Billing Postal Code

Zip or postal code portion of billing address. Up to 255

Characters are allowed in this field.

Billing Country

Country portion of billing address. Up to 255 characters are allowed in this field.

Shipping Address1

Primary mailing or shipping street address of customer. Up to 255 characters are allowed in this field.

Shipping Address2

Additional shipping Street Address (Avenue or Suite) of customer.  Up to 255 characters are allowed in this field.

Shipping City

City portion of primary mailing or shipping address. Up to 255 characters are allowed in this field.

Shipping State-Province

State or province portion of primary mailing or shipping address. Up to 255 characters are allowed in this field.

Shipping Postal Code

Zip or postal code portion of primary mailing or shipping address. Up to 255 characters are allowed in this field.

Shipping Country

Country portion of primary mailing or shipping address. Up to 255 characters are allowed in this field.

Annual Revenue

Annual Revenue estimate for the customer.

Employees

Number of employees at the Customer's company.

Industry

The industry under which the customer falls. For example, Banking, Insurance.

Sub Industry

Type of industry under which the customer's industry falls. For example, Insurance Brokerage.

Industry Code

Standard NAICS code for the Customer's Company. For example, NAICS code for construction as "23".

URL

URL of customer's website, for example, www.acme.com. Up to 255 characters are allowed in this field.

Stock Ticker

Stock quotation of the Customer. Up to 255 characters are allowed in this field.

Credit Limit

Maximum allowed credit limit for the customer. For example, 1000.

Terms

Any terms that you have specifically agreed to and want to track in the contract. Up to 255 characters are allowed in this field. For example, Net 30.

Tax Rule

Tax rule under which the customer falls. Up to 255 characters are allowed in this field.

Contact Name

Primary contact name for the customer. Up to 255 characters are allowed in this field.

Phone

Phone Number of Customer.  Up to 255 characters are allowed in this field.

Fax

Fax Number of Customer. Up to 255 characters are allowed in this field

Email

Email address of Customer. Up to 255 characters are allowed in this field. Must be a valid email address in the form: jsmith@acme.com. Up to 255 characters are allowed in this field.

Territory

The territory with which the customer is associated.  Up to 255 characters are allowed in this field.

Lead Source

Source of the lead. For example, Word of Mouth, Direct Mail, etc.

Commission Rate

Rate at which,the Rep will be paid for sale to this customer. E.g. 10.

Rep1

Primary sales rep dealing with customer. E.g. Randy.

Rep2

Additional sales rep dealing with customer. E.g. Brandy.

Rep3

Additional sales rep dealing with customer. E.g. Smith.

Credit Percent1

Percentage of amount to credited for Rep1.

Credit Percent2

Percentage of amount to credited for Rep2.

Credit Percent3

Percentage of amount to credited for Rep3.

Comments        

Comments on Customer. Up to 255 characters are allowed in this field.

Owner

Owner of the record. Typically owner will be any of the user id. E.g.sample_randy@yahoo.com. By default, Owner will have access to this record.

 Adding a new Customer

The user can create new customer details such as Customer Name, Billing Information, Shipping Information, etc. For example, to add new customer "ACME" details,  follow the steps given below:

  1. Click Customers menu ? Customer submenu item. The "Customer" list page opens.

  1. Click on Add New button to create a new customer. The "Customer" detail page opens. 

  1. Type the identifier for the customer in the Customer Name text box. For example, type the customer id as "ACME".
  2. Select the type of the customer from the Type drop-down. Here, the type of customers are Customer, Prospect, Other, and Partner. For example, select the type as "Customer".
  3. Select the higher-level customer from the Parent Customer drop-down.
  4. Type the billing address 1 in the Billing Address1 text box. For example, type the address1 as "123 Lower In".
  5. Type the billing address 2 in the Billing Address2 text box. For example, type the address2 as "Marshalls Avenue".
  6. Type the city name used for sending billing details to customer in the Billing City text box. For example, type the city as "Atlanta".
  7. Type the state where the customer billing address is situated in the Billing State/Province ext box. For example, type the state as "Georgia".
  8. Type the customer's billing address zip code in the Billing Postal Code text box. For example, type the zip code as "33012".
  9. Select the country name where the customer's billing address is situated from the Billing Country drop-down. You can add new, edit or view the country details in the country codes page by clicking the view  icon. For example, select the country as "United States of America.
  10. Type the contact name for the customer in the Contact Name text box. For example, type the contact name as "Mike Douglas".
  11. Type the customer's phone number in the Phone text box. For example, type the phone number as" (543) 555-7437".
  12. Type the customer's fax number in the Fax text box. For example, type the fax number as" (543) 555-7437".
  13. Type the email address of customer in the Email text box. For example, type the email id as "mikeacme@cellarstone.com".
  14. Type the shipping address details of the customer in the fields such as Shipping Address1, Shipping Address2, Shipping City, Shipping State/Province, and Shipping Postal Code. For example, type the address1 as "321 Napa Valley", city as "Atlanta", state as "Georgia", and postal code as "33033".
  15. Select the country name where the customer's shipping address is situated from the Shipping Country drop-down. For example, select the country as "United States of America".
  16. Type the customer's total revenue for one financial year in the Annual Revenue text box. For example, type the revenue as "1200.00".
  17. Type the number of employees the customer's company have in Employees text box. For example, type the employees count as "150".
  18. Select the name of the industry under which the customer is categorized into from the Industry drop-down.  For example, select the industry as "Construction".
  19. Type the amount of at which the rep will be paid for sale to this customer, in the Commission Rate text box. E.g. 10.
  20. Select the Primary sales rep associated with the customer from the Rep1 drop-down. E.g. Randy.
  21. Select the additional sales rep associated with the customer from the Rep2 drop-down. E.g. Brandy.
  22. Select the additional sales rep associated with the customer from the Rep3 drop-down. E.g. Smith.
  23. Type the percentage of amount to credited for Rep1 in the Credit Percent1 text box.
  24. Type the percentage of amount to credited for Rep2 in the Credit Percent2 text box.
  25. Type the percentage of amount to credited for Rep1 in the Credit Percent3 text box.
  26. Select the Owner of the record. Typically owner will be any of the user ids. E.g. sample_randy@cellarstone.com. By default, Owner will have access to this record.
  27. Type the higher level of the current industry from the Sub Industry drop down.
  28. Select the code for the industry from the Industry Code drop-down. The code will be the NAICS code for the industry in US. For example, type the code as "23".
  29. Type the website address of the Customer's company in the URL text box. For example, type the URL as "www.acme.com".
  30. Type the stock information in the Stock Ticker text box.
  31. Type the maximum amount of the credit for the customer in the Credit Limit text box. For example, type the credit limit as"1000".
  32. Type the payment terms in the Terms text box. For example, type the terms as"Net 10".
  33. Type the rule under which the customer falls in the Tax Rule text box.
  34. Select the territory that the customer belongs to from the Territory drop-down.
  35. Select the source of the lead how the customer came from the Lead Source drop-down. For example, select the lead source as "Online".
  36. Type the details in the Comments field.
  37. Click Save to save the added customer details or click Save & Next to save and create new customer details.

Note:

  • To update a customer details, click Edit  icon, and then change the fields you want to update.
  • To copy the customer details from an existing data, click Copy  icon provided on the list page.
  • To delete a particular customer details, click Delete   icon provided on the list page.
  • To view the particular customer details, click on the required Customer Name link.
  • To sort the column alphabetically/ascending order, click on the required column header and click the column heading a second time, to reverse the sort order.
  • To set commission plan based on the customer, click Set customer based commission plan link provided in the Next Step section.
  • To enter transaction manually, click Enter transactions link provided in the Next Step section.
  • To view the information related to the customer page, click on the required link provided in the Related Information section.

Opportunity

Opportunity refers to the tracking information on sales with your customer. To add new opportunity, please refer the Opportunity section.

 

Contact

The Contact page contains the contact details of Customer. To add new contact, please refer the Contact section.
