entering_transaction

Entering Transaction

Administrator or Rep can enter the transaction manually in this page. Based on the calculation type and the commission plan, commissions for the rep will be calculated. The Transaction page contains information about the transaction details. After entering the Transaction's details, you can set commission plan, view statement and perform commission calculation.

The Transaction menu lets you quickly create, and view the Transactions information. In addition, this page lets you copy, and delete, edit the Transactions information. In the Next Step section of the Transaction page, you can add commission plan or view statement or perform commission calculation. This page also lets you to go to the previous page and Home page. In the Related Information section, you can view the information related to the Transaction page.

You can click Transaction menu item to display the "Transaction" page. This page will list all the Tran ID, Tran Line, Status, Customer, product, Group, Sales Amount, Gross Profit, Links to Edit, Copy, Delete option.


Transactions Fields

Here is a description of the Transaction standard fields. Some of these fields may not be editable depending on your page layout.

Field

Description

Tran ID

Identifying code for the transaction. For example, Txn 01. Up to 255 characters are allowed in this field.

Tran Line    

Line number for the transaction. This refers to single data in a transaction. For example, "1". Up to 255 characters are allowed in this field.

Date        

Date in which the sale is made. For example, 01/01/2012.

Period

Period is the current period representing the duration with in which the sale falls. E.g. 1.

Commission Year   

Year is the current year in which the sale is made. E.g. 2012.

Ordered/Invoiced Date

Date in which order or Invoice is created.

Paid Date

Date of paid.

Profit

Gross sales minus cost of item or service.

Ispaid

Whether the transaction is paid or not.E.g. Yes or No.

Territory

Name of the sales region, the rep is associated to.

Class

Sales made for class.

Customer  

Sales made for customer. For example, ACME.

Product

Sales made on product. For example, Bolts.

Quantity

Number of products being sold. For example, 5. Up to 255 characters are allowed in this field.

Sales Amount   

Sales price of the products being sold. For example, 5000.00. Up to 255 characters are allowed in this field.

Cost

Total cost (purchase cost) of the product. For example, 1000. Up to 255 characters are allowed in this field.

Gross Profit   

Gross Sales minus Cost of Product or Service. For example, 2500.00. Up to 255 characters are allowed in this field.

Amount1 and Amount2   

Flexi Amount fields that can be used to define any percentage value or discount, etc other than sales amount or gross profit. For example, 500.

Calculation Type

Calculation type for transaction. The types are:  Using Rules, Manual. 

Using Rules - To consider the transaction for calculation using the calculation rules.

Manual - To directly enter the credit, commission values.

Status

Current status of the sale as per the system. The statuses of transaction are: Active, Closed, In Process, and On Hold. such as,

Active - Transactions to be considered for calculation.

In Process - Transactions that are considered for calculation.

On Hold - Transactions that are not to be considered for calculation. Closed - Transactions that are already paid.

Group

Sales made for group. For example, New Customers.

Commissionable     

Checkbox to mark whether the transaction has to consider for commission calculation or not.

Type

Type of transaction. The types are: Draw, Adjustment, Advance, Other, Commission, Bonus.

Rep1

Sales person involved in the transaction. For example, Randy.

Credit Percent1

Percentage of amount credited for Sales Person.

Credit Amt1 

Credited Amount for Sales Person.

Comm Rate1

Commission Rate for Sales Person.

Comm Amt1

Commission Amount for Sales Person.

Rep2      

Additional sales persons involved in the transaction. For example, if the two sales persons (say 'Randy' and 'Brandy') are involved in the transaction, then the second sales person's name 'Brandy' should be selected in this field.

Credit Percent2

Percentage of amount credited for additional Sales Person.

Credit Amt2   

Credited Amount for additional Sales Person.

Comm Rate2

Commission Rate for additional Sales Person.

Comm Amt2   

Commission Amount for additional Sales Person.

Rep3    

Additional sales persons involved in the transaction. For example, if three sales persons (say 'Randy', 'Brandy' and 'Bmistal') are involved in the transaction, then the third sales person's name 'Bmistal' should be selected in this field.

Credit Percent3

Percentage of amount credited for additional Sales Person.

Credit Amt3

Credited Amount for additional Sales Person.

Comm Rate3

Commission Rate for additional Sales Person.

Comm Amt3

Commission Amount for additional Sales Person.

Comments 

Comments on Vendor. Up to 255 characters are allowed in this field.

Owner

Owner of the record. Typically owner will be any of the user id. E.g.sample_randy@cellarstone.com. By default, Owner will have access to this record.

 

Adding new Transaction

The user can create new transaction details such as Tran ID, Tran Line, Status, Customer, product, Group, Rep, etc. For example, to add new transaction details such ACME as Customer, Nuts as Product, Cwinston as Group, etc with the transaction id as "TR06",  follow the steps given below:

  1. Click Transactions menu. The "Transaction" list page opens.

  1. Click on Add New button to create a new transaction. The "Transaction - Add" detail page opens.

  1. Type the identifier for the transaction in the Tran ID text box. It may be any combination of letters up to 50 characters. For example, type the id as "TR06".
  2. Type the line number for the transaction in the Tran Line text box. This refers to the single data in a transaction. For example, type the line number as "1".
  3. Click and select the Date from the date picker, in which the sales are made. For example, select the date as "01/01/2012".
  4. Values in Period and Commission Year fields will be populated automatically based on the selected Date and it happens while saving the detail. For example, selecting the date as "02/21/2012" which as per the commission schedule falls in the range of "02/01/2012" ? "02/28/2012" with relevant period number being "2", hence on saving the period and commission year will automatically gets changed to "2" and "2012".
  5. Type the Date in which order or invoice is created in the Ordered/Invoiced Date text box.
  6. Type the date of paid in the Paid Date text box.
  7. Type the Gross sales minus cost of item or service in the Profit text box.
  8. Select the Ispaid check box whether the transaction is paid or not. E.g. Yes or No.
  9. Select the name of the sales region to the Rep from the Territory drop-down.
  10. Select the name of the class from the Class drop-down.
  11. Select the name of the customer for whom the sale is made from the Customer drop-down. You can add new, edit or view the customer details in the customer page by clicking the view  icon. For example, select the customer name as "Sample ACME, Inc".
  12. Select the product name on which sale is made from the Product drop-down. You can add new, edit or view the product details in the product page by clicking the view  icon. For example, select the product name as "Nuts."
  13. Type the quantity of the product being sold in the Quantity text box. For example, type the quantity as "5".
  14. Type the total cost (purchase cost) of the product in the Cost text box. For example, type the cost as "1000".
  15. Type the sales price of the items being sold in the Sales Amount text box. For example, type the Sales Amount as "5000.00".
  16. Type the Gross Sales minus Cost of Product or Service in the Gross Profit text box. For example, type the Gross Profit as "2500.00".
  17. Type the percentage value or discount in the Amount1 and Amount2 text boxes. For example, type the amount 1 as "500" and this value will be used for commission calculation.
  18. Select the Owner of the record. Typically owner will be any of the user ids. E.g. sample_randy@cellarstone.com. By default, Owner will have access to this record.
  19. Select the type of Calculation either Manual, or Using Rules from the Calculation Type drop-down.

a.       If "Using Rules" is selected, then the transaction will be considered for commission calculation.

b.       If "Manual" is selected, then commission should be calculated manually and credit, commission values are to be entered directly on the transaction page in relevant fields.

22.   Select any one of the status of the transaction (Active, In Process, On Hold) from the Status drop-down.  This will be the current status of the sales transaction in the system.

    1. If "Active" is selected, then transactions will be considered for calculation process. By default, "active" is selected.
    2. If "In Process" is selected, then the transactions are considered for calculation process.
    3. If "On Hold" is selected, then the transactions are not considered for calculation process.
    4. If "Closed" is selected, the transactions are considered as already paid.

23.   Select the group name for which sale is made from the Group drop-down. You can add new, edit or view the group details in the Group page by clicking the view  icon.

24.   Select any of transaction types (Draw, Adjustment, Advance, Other, Commission, Bonus) from the Type drop-down. By default, "commission "is selected.

  1. If the transaction has to consider for commission calculation, then select the Commissionable check box.
  2. Select the rep from the Rep1 drop-down. You can add new, edit or view the rep details in the Rep page by clicking the view  icon. For example, select the rep name as "Bmistal".
  3. If the Calculation Type is "Manual", then type the percentage of Amount1 credited for Rep1 in the Credit Percent1, credited amount in the Credit Amt1, commission rate in the Comm Rate1, commission amount in the Comm Amt1 for Rep 1 in the text boxes provided.
  4. If needed, select the Rep2 from the respective drop-down. You can add new, edit or view the rep details in the Reppage by clicking the view  icon.
  5. If the Calculation Type is "Manual" then type the Credit Percent2, Credit Amt2, Comm Rate2, Comm Amt2 for Rep 2 in the text boxes provided.
  6. If needed, select the Rep3 from the respective drop-down. You can add new, edit or view the rep details in the Rep page by clicking the view  icon.
  7. If the Calculation Type is "Manual" then type the Credit Percent3, Credit Amt3, Comm Rate3, Comm Amt3 for Rep 3 in the text boxes provided.
  8. Type the Comments in the text area provided.
  9. Click Save to save the added transaction details or click Save & Next to save and create new transaction details.
  • To update a transaction details, click Edit  icon, and then change the fields you want to update.
  • To copy the transaction details from an existing data, click Copy  icon.
  • To delete a particular transaction details, click Delete  icon provided on the list page.
  • To view the particular transaction details, click on the required Tran ID link. You can also copy, delete and edit the readable mode by clicking the respective buttons provided on the top center of the "Transaction - view" page.
  • To sort the column alphabetically/ascending order, click on the required column header and click the column heading a second time, to reverse the sort order.
  • To set or modify the commission plan, click Modify/Set the commission plan link provided in the Next Step section.
  • To perform calculate commission, click Perform commission calculation link provided in the Next Step section.
  • To view the commission statement, click View statement link provided in the Next Step section.
  • To view the information related to the transaction page, click on the required link provided in the Related Information section.
